AI, internal communication and eSam

How can we use artificial intelligence to help our communities? And how is the importance of internal communication actually affected in a time of world unrest? These were some of the things discussed during the government meeting. Also on site was eSam, talking about the digital collaboration platform for the public sector. A collection of concrete tips linked to internal communication

In a time full of turmoil, knowing how to communicate internally can be challenging – it can even feel a little futile. But the truth is that communication has never been more important than now, and everyone can have an influence, even in the smallest of ways.

Internal communication is always central to creating engagement and well-being in workplaces, but what is important to consider right now? Anna Almberg spoke about this at the Swedish Agency Meeting and sent us a lovely bouquet of 14 concrete tips. Some of the things Anna highlighted were the openness and trust spiral, the importance of communicating briefly and simply, and the need to settle down by the campfire.

Wondering what you should actually communicate? The most important thing now is to be open and to create trust. Say it as it is and inform often. Focus on building and strengthening relationships.

Short and easy

It’s not time to jump ahead, instead create content that’s short and simple. Keep your inner eight-year-old in mind when writing. Good communication should go straight to the heart and not have to go through the brain.

Ignite the campfire

Many people now need to talk to others. So it’s time to light the campfire – at least mentally and create a sense of presence. Where do you create the campfire at your workplace? What arenas do you have for chat, reflection and recognition, where colleagues can talk to the point?

Everyone’s talking about AI

Rek.aI was also at the Agency meeting and talked about the latest in AI. Everything from how AI can create images and illustrations to how AI can be used in healthcare.

There are several areas of application for AI and it is already being used by Swedish authorities in many locations. For example, the Swedish Forest Agency uses AI to search for dead trees using drones and image recognition, which means that people no longer need to go looking. Sisab also uses AI to control, optimise and analyse real-time properties using algorithms. This work has had a positive effect on both indoor environments and the economy.

How can you use AI on your website?

There are also a number of benefits and uses for AI on websites. Visitors to the web are becoming increasingly lazy, but by using AI to recommend content, visitors can find things more quickly and you, the editor, can get your content out there. eSam: Digital collaboration platform

Protecting information and personal data is more important than ever. At the same time, the pandemic has contributed to the growing prominence of the digital workplace. A public organisation should not have to devote time and resources to protecting information from a supplier, but should be able to feel confident in how it is handled. Then there are a number of laws to abide by, both Swedish and foreign. However, legal and IT security should not limit, but instead make it clearer which solutions can actually be used.

During the Agency meeting, Erik Enocksson from the eSam project and working group was on hand to talk about the challenges facing the public sector, but also about eSam’s work on the digital collaboration platform. Work started in June 2021 together with eight of eSam’s members (today they are 12) to analyse alternatives to Teams as a collaboration platform.

The project has been divided into two stages, starting with a dialogue with suppliers, setting high demands for them and monitoring the market. The next step is to investigate how to work in the tools. eSam also wants to facilitate cooperation among municipalities, regions and authorities, and will draw up action plans that can be applied to different activities. The idea is that no one should start from zero when it comes to making procurement and requirement specifications for suppliers, or when working with information security analysis and new ways of working — eSam will be involved and supportive at all stages.

Sitevision — a user experience

The day concluded Sitevision's Karl Eklöf talking about how we meet the requirements of the authorities linked to eSam. Sitevision does not solve all needs, but can deliver a user experience through the Sitevision intranet. In eSam’s report “Digital Collaboration Platform,” they discuss several different tools that the public sector can use instead of Teams. These can be integrated with Sitevision and several of the systems are already in place and more are in the pipeline.
