Smart module helps Jula schedule staff
Who takes the cash register? Who is in charge of the info desk? And who has lunch when? Thanks to a flexible module on the intranet, the department store chain Jula can now schedule and plan the entire workforce in detail.
Background and challenge
"We needed a common solution"
The family business and department store chain Jula has an intranet that is widely used by employees at its 136 stores across Sweden, Norway, Finland and Poland. The intranet is built in Sitevision and can be accessed via computers, store handhelds and personal devices.
- As a civil servant, you get news and information here, as an employee in the store, the intranet becomes a working tool to support the daily and practical work, explains Carl-Johan Edberg, project resource at Jula.
What Jula lacked was a common place where they could also schedule and detail the workforce at each store. To meet the need, some stores had started to build their own functions, which was not a sustainable solution in the long run.
- We needed a common solution that could be developed centrally. We want our businesses to work together as much as possible so that we can learn from each other and take advantage of the economies of scale," explains Carl-Johan Edberg.
Solution
Detailed planning of employees' positions
The solution was a custom-built module linked to the intranet. Thanks to the function, which was developed in collaboration with Consid, Jula can now schedule staff in a smooth way. On the respective store page, the store manager can plan the employees' positions in detail. If Lisa is to stand at checkout 1 between 9am and 12pm, take lunch between 12pm and 1pm and then take the info desk in the afternoon, well then it's there.
- Now you can find out exactly who is working on a given day and for how long. We see everyone who is scheduled, which makes it easier to plan the day and to reschedule when someone is sick.
In addition, says Carl-Johan Edberg, the interface is easy to work in. And, as I said, the module is easily accessed via computer, PDA and mobile phone.

What they are most pleased with, explains Carl-Johan Edberg, is that the tool is so flexible. All the information needed is easily accessible to all employees, in one place.
- It has been incredibly well received by staff, just like the whole intranet project. It's mobile, accessible and easy to consume. No matter who we talk to, everyone feels that we as a company have taken a big step," he says.
In addition to providing a good overview and smooth planning, the module also contributes to a more efficient working day.
- "Because everyone knows what to do, we can do our job more efficiently. Everyone is in the right place at the right time, you don't have to go and look at a piece of paper in the warehouse to see what to do," he says and continues:
- "Having this control and overview of the tasks also makes it easier to create routines and documentation. Then we can support the department stores in a better way.
